Cancellation Policy

1. Overview

This Cancellation Policy explains how you can end an engagement with UnfoldCRO ("we", "us") and what happens when you do. It works alongside our Terms & Conditions and Refund Policy.

2. How to cancel

All cancellations must be submitted in writing to info@unfoldcro.com from the email address on file for the engagement. Messages sent via chat, WhatsApp, or verbal conversations are not sufficient to trigger a formal cancellation. The date we acknowledge your email is the "Cancellation Notice Date".

3. Project cancellations

  • Before kick-off (within 48 hours of payment) — the project can be cancelled with a refund net of payment-gateway fees and external purchases, per our Refund Policy.
  • After kick-off but before any deliverable — the work already started is billed pro-rata; unused balance from the first milestone is refunded.
  • Mid-project — completed and accepted milestones are payable in full and non-refundable. Work-in-progress is billed pro-rata at our standard rate. The project is closed once outstanding balances are settled.
  • After final delivery — once the project has been delivered and accepted, no cancellation applies; the engagement is considered complete.

4. Retainer / AMC cancellations

  • Either party may cancel an ongoing retainer with at least 30 days' written notice.
  • The retainer continues through the notice period. Fees for the notice period remain payable in full.
  • Retainer work queued for the notice period will be completed in good faith, but new large scope items may be declined if they cannot reasonably finish before the end-date.
  • We will hand over credentials, documentation, and any source material in our possession within 15 business days of the final day, provided all invoices are settled.

5. Subscription cancellations

Subscriptions to our software products, hosted apps, or SaaS tools can be cancelled at any time:

  • Via the product's own account settings where available.
  • By emailing info@unfoldcro.com from the subscriber's registered email address.

Cancellation takes effect at the end of the current billing cycle; the product remains accessible until then. No refund is issued for the current billing period.

6. Cancellation by us

We reserve the right to cancel an engagement in the following situations:

  • material breach of our Terms that is not remedied within 15 days of written notice;
  • non-payment of an invoice that is more than 30 days overdue;
  • unlawful, harmful, or unethical use of our services;
  • sustained abusive conduct towards our team.

Where we cancel under this section, you remain liable for work completed up to the cancellation date. Where we cancel for convenience (not due to your breach), we refund unused pro-rated balance per the Refund Policy.

7. Effect of cancellation

  • Deliverables already paid for remain yours.
  • Our pre-existing IP embedded in deliverables remains licensed to you, subject to the Terms.
  • Client confidential information is retained for 3 years for audit, then deleted unless a longer period is required by law or agreed.
  • Outstanding invoices remain due.
